What we collect when you contact us, why, and what you can ask us to do with it.
Who we are
Harbco Calibrations Ltd, Sheffield, registered in England & Wales (company no. 16528595), registered office 80 Westgate, Rotherham, S60 1BD. Contact us about your data at info@harbcocalibrations.com or on 0333 880 2221.
What we collect
- Your name, phone number, email and business name if you're trade
- Where the car will be (postcode or address)
- Vehicle details: registration, make and model, warning lights, repair history and any photos you send
- Photos you add in the quote form are stored with your enquiry in our job system (ServiceM8) and used only to prepare your quote. We shrink them on your device first, which also removes any location data saved in the photo
- Messages, call notes and the reports we produce for the job
- Photos of the vehicle and calibration set-up taken during the job
Why we use it
- To reply to your enquiry, give you a price and book the work (taking steps to enter a contract with you)
- To carry out the job, produce your reports and invoice you (performing our contract)
- To keep business and tax records (legal obligation)
- To understand which adverts and pages bring us customers, using where you came from to our site (legitimate interests), and, only if you agree on the cookie banner, the analytics and advert measurement described below (consent)
- To show examples of our work, using job photos with number plates, people and anything identifying your home removed. You can ask us not to use, or to remove, any photo (legitimate interests)
Who we share it with
We don't sell your details. We use these services to run the business:
- ServiceM8: our job system, which holds your enquiry and job, and sends our texts and emails and handles calls
- CircleLoop: our business phone line
- WhatsApp: for trade customers who message us there
- Netlify: hosts this website and the forms that send us your enquiry
- Xero: our accounting software, for invoices and payments
- Anthropic: an AI assistant we use to help with admin, such as organising enquiries and jobs
- Google Analytics and Microsoft Clarity: only if you agree on the cookie banner
- Google Ads: only if you agree to advertising measurement on the cookie banner
For bodyshop and insurance work, the reports and forms for your vehicle go to the repairer or insurer handling the job.
Trade marketing emails
If you're a business customer, we may occasionally email your work address about our trade services. For limited companies and LLPs we do this on the basis of our legitimate interest in telling business customers about relevant services. For sole traders and partnerships, we only do it if you've ticked the box on our trade form, or you've bought from us before and didn't opt out. Every email has an unsubscribe link, and you can opt out at any time by replying or emailing info@harbcocalibrations.com. We keep a short list of people who've opted out so we don't contact them again.
How long we keep it
Enquiries that don't turn into a job are kept for up to 3 years, so we can follow up and understand what customers ask for, then deleted. We may keep anonymous totals, with no names or contact details, for longer. Job records, reports and invoices are kept for six years for tax and warranty purposes. If our system can't save an enquiry straight away, we keep it securely for up to 30 days while we retry, then delete it.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, or object to how we use it. Email info@harbcocalibrations.com. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies, analytics and advert measurement
Nothing below runs until you make a choice on the cookie banner. You can accept all, reject all, or choose each of these separately:
- Analytics: Google Analytics, to count visits and see which pages people use, and Microsoft Clarity, to see where people click, scroll and get stuck, including recordings of visits. Anything typed into our forms, and your quote details, are hidden from the recordings
- Advertising measurement: Google Ads conversion tracking, so we can see which adverts lead to an enquiry. If you came from a Google advert, we keep the advert's click reference with your enquiry. When you send an enquiry, your email address and phone number are scrambled (hashed) on your device before being sent to Google, so Google can match it to an advert click without us handing over your details in readable form (enhanced conversions). Google call tracking may show a Google forwarding number if you came from an advert, so we can tell a call came from that advert. Later, we may tell Google which of those enquiries became booked jobs, again using the click reference or hashed details, to see which adverts bring real work
If you reject, none of these load and no click reference is kept. The site still remembers your registration for the length of your visit, and your quote answers in that browser tab (so a refresh or the back button doesn't lose them), so the quote form works, and your choice so we don't ask again. Fonts load from Google Fonts. You can change your choice at any time with "Cookie settings" at the bottom of every page. We note your choice on your enquiry so we know what we're allowed to do.
